Position Summary

The Center for Development and Disability (CDD), established in 1990, is New Mexico's University Center for Excellence in Developmental Disabilities Education, Research and Service. These centers, authorized by the Developmental Disabilities Assistance and Bill of Rights Act, build the capacities of states and communities to respond to the needs of individuals with developmental disabilities and their families.

The FOCUS Program is a program that provides integrated comprehensive medical care for families impacted by substance use, home-based early intervention, and Infant and Early Childhood Mental Health and trauma-informed assessment and treatment services. The aim of the program is to integrate these services to support young parents and young children to prevent the occurrence of adverse childhood experiences for infants and toddlers, relapse, and further mental health deterioration for parents. The program is part of the Early Childhood Home and Family Services Division, which consists of a cluster of programs providing direct clinical and home visiting services to high-risk families of infants and young children in the Albuquerque metro area.

The Administrative Assistant 1 will provide a variety of administrative support activities as part of an administrative team.

The primary responsibilities will include:

  • Scheduling rooms for meetings and training events; assist in preparation of meetings and events.

  • Answering incoming calls for the program, taking messages for the home visitors, clinicians, etc.

  • Filing all client records accurately and in a timely manner.

  • Auditing client files for organization and completeness.

  • Auditing required case documents, reporting results.

  • Assisting Program Coordinator with billing data auditing and other billing procedures.

  • Making travel arrangements, process travel reimbursements utilizing Chrome River and spreadsheets.

  • Composing and editing documents using MS Word, Excel; create client certificates in PowerPoint.

  • Printing letters and envelopes, mailings for home visitor/clinician correspondence.

  • Creating program packets, client packets, miscellaneous copying and collating.

  • Researching client information and provide backup data entry within the NMFIT KIDS database.

  • This position is represented by a labor union and is subject to the terms and conditions of the CWA Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience working in:

  • a medical clinic or other direct service environment and experience with medical records

  • a setting serving high-risk families with young children

Excellent customer service and team skills.

Knowledge of HIPAA and PHI policies and procedures.

Experience and knowledge of UNM travel policies and procedures.
