Position Summary

UNM’s Capital & Space Strategies(CSS) provides strategic coordination, guidance and planning resources forinstitutional space, facility physical assets and capital resources.

CSS seeks an organized, detail orientedand self-motivated Administrative Assistant 2 to join our team. This positionwill provide day-to-day administrative support to the CSS staff. This positionwill serve as the first point of contact for the department. The positionrequires excellent communication skills both written and verbal. The selectedcandidate will be customer oriented and provide the highest level of assistanceto our campus constituents. Experience communicating with and coordinatinghigh-level administrators for meetings or report materials is essential.

Duties and responsibilitiesfor this position include, but are not limited to, the following:

  • Administrativesupport for CSS staff
    -Provides assistance by answering phones,assisting visitors, responding to email requests for facility condition data,capital project approval forms or space data.
    -Maintains the ISS Planning Officerschedule
    -Schedules and coordinates meetings forCSS staff
    -Assists CSS Data Manager in working withFM and PDC on facility condition needs or space floor plan updates.
    -Works with the ISS Planning Officer todevelop unit reporting and publication.
    -Provides administrative support for CSScommittees including Capital Planning Leadership Team and Space AllocationCommittees: scheduling meetings, keeping meeting minutes and attendance,preparing handout materials, etc.
    -Provides administrative support for theHED Capital Project Approval and Capital Outlay submissions.
    -Orders supplies, printing, presentationmaterials, plotter/printer needs, etc.
    -Assists with the maintenance of thespace and facility condition data entry as required.
  • FinancialSupport
    -Coordinates travel arrangements for CSSstaff conference or continuing education needs.
    -Procurement of needed resource orservices for the department
    -Monthly reconciliation of operationbudget
    -Assists with the development of theannual operating budget
    -Timekeeper

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experience scheduling appointments with Microsoft Outlook & Skype for Business
  • Experience with editing and proofreading written documentation
  • Strong interpersonal and communication skills
  • Experience providing support for large committees
  • Enjoys helping customers to solve issues
  • Demonstrated organization and time management skills
  • Intermediate-level experience with Microsoft Office: Word, Excel, and PowerPoint
