Position Summary

FacilitiesManagement (FM) is seeking aself-directed candidate with excellent communication and interpersonal skillsto join our FM-Utilities team as an Admin Asst. 2. This position will provide day-today administrative support which requires a range of skills and a knowledge of organizational policies and procedures, as well as performfiscal services duties as directed by the division’s Fiscal Services Supervisor. In addition, the qualified candidate will assist and direct visitors, resolve administrative problems, and inquiries; composes, edits, and proofreadscorrespondence and reports, and prepares a range of administrative documents. Other specific job duties will include credit card expense reportsubmissions, work order labor and expense data entries and closings, purchaserequisition and invoice processing, personnel training and certification filesmaintenance, open purchase orders reconciliations, and office suppliesordering.

Facilities Management is responsible forthe care and upkeep of the physical campus environment. Additionally, thedepartment maintains the University’s district energy system providingelectricity, steam, chilled water and domestic water through its owndistribution systems.

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Intermediate-level experience withMicrosoft Office-Excel, Word and PowerPoint
  • Experience with purchasing duties,such as purchase requisition preparation and invoice processing; preferablyLoboMart Purchasing
  • Experience with Chrome Riverexpense processing
  • Records maintenance skills
  • Ability to gather data, compileinformation, and prepare reports
  • Experience maintaining calendarsand scheduling appointments utilizing programs such as MS Outlook
  • Experience with minute taking
  • Demonstrated organization and timemanagement skills
  • Demonstrated ability tocommunicate effectively, both orally and in writing
  • Ability and desire to learn newUNM and job-specific computer programs
  • Experience with TMA work orders,entries and processing
