Position Summary

The Psychology Clinic is seeking a highly motivated and professional Administrative Assistant 2 to assist the Clinic director with daily unit operations. The Psychology Clinic provides mental health services to the community and professional level training for students in the Clinical Psychology Doctoral Program.

The Administrative Assistant will perform and/or oversees a diverse range of administrative support and fiscal duties for the Clinic and the AGORA Crisis Center. Individual must possess exceptional organizational and communication skills (both written and verbal) as this person serves as a liaison to various core offices on campus. Some of staff support require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized recordkeeping and database management, and/or specified information-gathering projects and tasks. In addition, coordinate and facilitates meetings, program training, and/or special events, as appropriate. Due to the nature of the office, this position requires a high level of confidentiality, and must maintain an emotionally safe and accepting interpersonal environment for clients. The ideal candidate requires a range of skills that are compliant with APA, HIPPA, and FERPA laws; as well as University and Mental Health care policies and procedures for handling confidential client/patient information.

Duties and Responsibilities will include:

  • Keep the administrative and financial affairs of the Clinic in good order in collaboration with the Psychology Clinic and AGORA directors
  • Provides administrative support for the Clinic such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
  • Manage the clinic email and calendars.
  • Maintain accurate and up-to-date clinic policies and procedures and training manuals
  • Maintain client files in compliance with HIPPA and FERPA including consent forms, service fees, and recordings
  • Preparation of training materials and community materials for dissemination
  • Keep an organized record of student and volunteer hours and training.
  • Fiscal duties include but not limited to: assists with procurements via p-card and LoboMart; maintain daily supplies; process membership renewals, travel arrangements and reimbursements in compliance with UNM policies and procedures; reconcile internal budgets using various financial reports in Banner and My Reports; prepare JV entries and budget revisions accordingly.

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Previous experience with UNM Finance policies and procedures
  • Previous experience working in a clinical or medical office
  • Knowledge of general accounting principles
  • Medical billing experience
  • HIPPA training
  • FERPA training
  • Knowledge of MS Office applications (Word, Excel, and PowerPoint).
