Position SummaryThe Counseling, Assistance and Referral Services departmentwhich serves as the Employee Assistance Program for University of New Mexicostaff and faculty, is looking for a full-time Administrative Assistant II withexcellent communication and interpersonal skills.

The individual selected for this position will beresponsible for answering the department's main telephone line, taking messages& processing voice mail messages, scheduling appointments, providinggeneral information about CARS services, conducting appointment reminder calls,directing all visitors, performing confidential client case file managementusing a proprietary EAP software system, and providing high leveladministrative support to all CARS staff. This individual would also be responsiblefor developing fliers and other graphic materials, printing and binding oftraining brochures, creating memos/letters and other sensitive documents, conductingroutine records maintenance, generation and mail out of client survey letters,obtaining/utilizing a P-Card to make purchases, recording minutes for departmentmeetings, working promotional events, scheduling meetings/workshops for thedepartment staff, opening and closing of the office daily, checking/processingmail & e-mail, maintaining the department's waiting rooms and common areas,maintaining inventory, submitting custodial work orders and service tickets,serving as back-up to the department's "Building Coordinator", and assisting with other administrativeduties and projects as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Excellent Customer Service Skills
Detail oriented with strong organizational skills
Ability to prioritize, handle multiple tasks and meetcritical deadlines
Proficiency with Microsoft Office Suite(Word/Excel/PowerPoint)
Ability to understand/speak Spanish [Basic 3 A2 Fluency Level]
Experience working within higher education
Experience working in a clinical environment
Background working within a confidential environment
Ability to maintain interpersonal, professionalrelationships
Advanced data entry skills
