Position Summary

The Division of COEHP, within the Department of Internal Medicine, is seeking an Administrative Assistant 2 to assist the Preventive Medicine Residency program (PMR) with the day-to-day operations which include: scheduling clinics/rotations, maintaining calendars, assisting in the residency application process through ERAS, updating and maintaining new innovations, and working closely with the GME office. This position will also assist with the UNM HEaRT program. The program participates in administrative duties such as scheduling classes, collecting data, ordering parts for AEDs, and possibly teaching CPR/AED classes. The UNM Heart Emergency and Rescue Training (HEaRT) provides first aid, emergency decision-making, and CPR and AED training in the community.

Duties Include:

  • Serves as liaison between staff, students, residents, faculty, and outside organizations
  • Coordinates and proctor examinations with the preventive medicine residents
  • Provides support by answering the phone, assisting visitors, doing mail, and other correspondence
  • Maintains and updates confidential files and records for residents and faculty
  • Assists with updating and maintaining rotations, evaluations, etc. in New Innovations
  • Conducts the first screening step of the resident application process via ERAS during interview season
  • Assists in preparing and distributing informational materials to resident physicians, faculty, and others
  • Assists with overseeing the DROBO (program electronic folders) and Google calendar
  • Assists with keeping track of licenses, trainings, etc. expiration dates for faulty and resident physicians.
  • Assists with scheduling UNM HEaRT classes
  • Using a P-Card to make purchases
  • Assists with collecting data for the UNM HEaRT program

Conditions of Employment

Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experienceworking with resident physicians
  • Knowledgeabout physician residency training related systems such as ERAS or NewInnovations
  • Experiencewith organizing the documentation of several people such as learners
  • Demonstratedability to easily learn new computer or online based systems
  • Experienceassisting with an AED or CPR program
Additional RequirementsSome travel within NM may be required for outreach or meetings.
