Position SummaryThis role provides comprehensive administrative and operational support to a department, requiring strong organizational skills and a solid understanding of internal policies and procedures. The assistant serves as a key point of contact for visitors and staff, handling inquiries, resolving routine issues, and ensuring smooth day-to-day operations. Responsibilities include drafting, editing, and proofreading correspondence and reports, as well as preparing a variety of administrative documents.

The position also involves coordinating meetings, events, travel, and appointments for supervisors, while maintaining calendars and managing logistics. The assistant supports internal communication by acting as a liaison with other departments and helps prepare reports by gathering and analyzing basic data. In addition, the role includes maintaining records, databases, and filing systems, as well as handling incoming and outgoing mail and ensuring timely responses to routine inquiries.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Preferred qualifications:

  • Strong customer service experience and a demonstrated ability to work effectively with the public in a professional environment.
  • Strong skills in Microsoft Office especially Outlook, Word, and Excel are required, along with professional phone and email communication and the ability to convey information clearly to diverse audiences.
  • Candidates should be comfortable coordinating meetings, managing calendars, and arranging travel, as well as preparing correspondence, reports, and meeting materials with a high degree of accuracy and attention to detail.
  • Experience working in an academic setting, especially supporting faculty and interacting with students, is highly valued.
