Position Summary

The Center for Development and Disability (CDD), established in 1990, is New Mexico's University Center for Excellence in Developmental Disabilities Education, Research and Service. These centers, authorized by the Developmental Disabilities Assistance and Bill of Rights Act, build the capacities of states and communities to respond to the needs of individuals with developmental disabilities and their families.

The Early Childhood Evaluation Program (ECEP) is part of Clinical Services at the CDD. The Early Childhood Evaluation Program provides direct clinical evaluations to infants and young children living in New Mexico, who are at risk for a developmental delay or disability, have complex medical conditions, behavioral/regulatory issues and other specialized evaluation questions. ECEP provides federally mandated services under Part C of the IDEA - Individuals with Disabilities Education Act.

The Administrative Assistant 2 will work as part of an administrative team across Clinical Services to support clinical evaluation administrative process. The person will also provide general support to the Program Coordinator, the Program Director and clinical staff who perform the direct service work. The primary duties involve fulfilling a complex set of procedures to eventually disseminate the final evaluation report to outside providers. This process involves the on-going proofing, editing and formatting of evaluation reports, keeping logs of report status, record management of client files, as well as digital file organization. The individual will follow strict HIPAA and PHI regulations in all work performed. The AA2 will also perform data entry, run reports and audit data, take and transcribe meeting minutes, schedule meeting and room reservations, arrange travel, take inventory of protocols, assessment kits and toys and help prepare materials for outreach trips. This individual will also edit referral/evaluation forms, produce client information packets and client charts.

Additionally, this person will have oversight of medical record retrieval process which involves working with the student employee, to assure that procedures are followed per HIPAA/PHI regulations and records are retrieved in a timely way. The AA2 will also process travel and maintain organization of supplies and materials.

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

High level of proficiency in editing, proofing and formatting multiple page reports while adhering to required timelines.

High level of proficiency in MS Office Suite including Word and Excel.

Excellent communication, customer services and team skills.

Experience with database management, running reports and data auditing.

Knowledge of HIPAA and PHI regulations.
