Position Summary

UNM’s Capital & Space Strategies (CSS) seeks an organized, detail oriented and self-motivated Administrative Assistant 2 to join our team. This position will provide day-to-day administrative support to the CSS staff, and serve as the first point of contact for the department. The position requires excellent communication skills both written and verbal. The selected candidate will have strong editing and proofreading skills and be customer oriented. Experience communicating with and coordinating high-level administrators for meetings or report materials is essential.

UNM’s Capital & Space Strategies (CSS) provides strategic coordination, guidance and planning resources for institutional space, facility physical assets and capital resources.

Duties and responsibilities for this position include, but are not limited to, the following:

  • Administrative support for CSS staff
    • Provides assistance by answering phones, assisting visitors, responding to email requests.
    • Provides support for the HED Capital Project Approval and Capital Outlay submissions.
    • Assists CSS Data Manager to coordinate data delivery from other UNM Facility Groups.
    • Works with the ISS Planning Officer to develop unit reporting and publications.
    • Provides administrative support for CSS committees including Capital Planning Leadership Team and Space Allocation Committees: scheduling meetings, keeping meeting minutes and attendance, preparing handout materials, etc.
    • Schedules and coordinates meetings for CSS staff
    • Orders supplies, printing, presentation materials, plotter/printer needs, etc.
    • Assists with the maintenance of the space and facility condition data entry as required.
  • Financial Support
    • Coordinates travel arrangements for CSS staff conference or continuing education needs.
    • Procurement of needed resource or services for the department
    • Monthly reconciliation of operation budget
    • Assists with the development of the annual operating budget
    • Timekeeper

Assignment Details:

Days & Hours: Monday - Friday, 8 a.m. - 5 p.m.

Anticipated Start Date: 11/11/19

Projected End Date: 5/10/19

Parking Arrangements: Responsibility of the selected employee

UNMTemps provides staffing solutions to UNM departments requesting temporary employees as positions become available due to a vacancy, when regular employees are absent, for peak work periods, and for special events. As such, UNMTemps assignments/positions may end with little or no advance notice.

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experience with editing and proofreading written documentation
  • Strong interpersonal and communication skills
  • Experience scheduling appointments with Microsoft Outlook & Skype for Business
  • Enjoys helping customers to solve issues
  • Demonstrated organization and time management skills
  • Intermediate-level experience with Microsoft Office: Word, Excel, and PowerPoint
