The University of New Mexico’s Project ECHO is seeking a professional and enthusiastic Administrative Assistant 3 to join our team!

As a member of the Administrative Assistant team, you’ll be key in managing our front office and communication desk, as well as coordinating a variety of projects all while maintaining a professional and friendly demeanor and a welcoming environment.

As an Administrative Assistant 3, you will play in integral role in:

· Working on and proactively navigating multiple projects and managing shifting priorities based on the needs of the business

· Provide excellent administrative support to ensure the efficient operation of the office

· Data analysis and data entry and creation of PowerPoint presentations and coordination of organizational meetings

· Managing log of office visitors, supplies inventory, data entry, and assistance with meeting office and space coordination

· Managing multiple calendars by scheduling meetings, training and conferences, securing conference room reservations and supporting organization of rooms and meetings as needed

· Assisting in administrative program planning and problem solving while interacting with staff, faculty, partners and visitors professionally and confidentially

· Creating correspondence and other materials for meetings, conferences and trainings

· Answering emails, phone calls, making copies, scanning/faxing

· Attending various meetings to provide accurate minutes

· Assisting with the coordination and launch of our Emergency Preparedness Plan and participate as a member of the unit emergency coordination team

You will work closely with the existing Administrative Assistant team to provide unparalleled support to the Associate Directors and their teams.

We work with partners all over the world and work hours outside of normal business hours may be required. We are fortunate to have access to advanced technology, which will require some teleworking.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

    · Exceptional communication skills and professional etiquette

    · Strong time management skills and ability to meet deadlines by prioritizing tasks

    · Excellent critical thinking and creative problem-solving skills with commitment to ECHO Values

    · Proficiency in Microsoft Suite and eagerness to learn new software applications i.e. Smartsheets

    · Demonstrated ability to work across teams providing excellence, accountability, teamwork, and high level listening and communication skills.

    · Prior experience in P-card transactions, reconciliation and tracking of expenditures

  • Proven track record of exceptional customer service
