The Department of Emergency Medicine, is looking to hire a motivated, energetic, customer-service minded professional to serve as an Administrative Assistant III in a fast paced dynamic EMS education environment. This individual will perform a variety of education support duties for the department, including: Coordinating, posting, and hiring for unit temporary part-time faculty (TPTF) needs; Working with varied constituencies in the resolution of a variety of day-to-day unit matters including answering phones, room scheduling, and problem solving for students or visitors; Compiling statistic and related information as it pertains to programs within the EMS Academy; Establishing, updating, and maintaining unit's hiring and re-hiring files and records and implementing and maintaining personnel data management systems, as required; Creating, composing, and editing technical and/or administrative correspondence and documentation; Leading and guiding the work of student employees and lower level staff when applicable; Monitoring, reconciling, and assisting with fiscal administration for the unit as needed; Working as an integral part of a solid administrative team.
|Conditions of Employment|
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
o Aptitude for coordinating, posting, and hiring TPTF for employment.
o Capability and enthusiasm to compile statistics and data-based reports; understanding of Microsoft Excel and its data analysis tools.
o Practical experience, capability and enthusiasm to work with SmartSheets.
o Flexibility to work with frequent interruptions and distraction in a fast-paced environment, including ability to prioritize, handle multiple tasks, and meet critical deadlines.
o Ability to appropriately utilize a Purchasing Card, reconciling expenses, and assisting with fiscal administration.
