Position Summary | ****THE BEST CONSIDERATION DATE HAS BEEN EXTENDED TO 11.11.2024**** The University of New Mexico Health Sciences Center’s Departmentof Cell Biology & Physiology is seeking a capable, self-motivatedindividual with excellent computer and communication skills to support thedepartment and department leadership. The successful candidate will be able to act independently and balance multiple ongoing priorities. The individual must bedetail-oriented, an experienced multitasker with a wide knowledge of officesoftware, exceptionally well organized and a good communicator. Excellent oral and written communicationskills must be demonstrated through application materials and interview. The Administrative Assistant3 will provideadministrative support for the Department Chair, DepartmentAdministrator, Department Accountant, as well as for faculty, staff, postdocsand students. This individual will hold a PCard. Duties include, but are not limited to, processing financialtransactions, reconciling purchases in Chrome River, creating/editing quarterly department newsletter, assist with inventory, scheduling appointments/meetings,coordinating seminars/special events including arranging travel and preparingitineraries, maintaining office supply inventory, filing, answering phones,sorting/screening mail, errands and miscellaneous office duties. The position is on campus, Monday - Friday, 8am to 5pm, with no scheduled weekendsexcept for rare obligations to meet deadlines or coordinate specialevents. |

Minimum Qualifications | High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
Preferred Qualifications | Preferred qualifications: * Experience with Banner Financial system * Knowledge of basic accounting; tracking and reconciling accounts * Knowledge/experience with Chrome River and UNM reimbursement process * Experience with PCard management and use * Knowledge of FAMIS space management and inventory tracking * Ability to understand and apply University policies and procedures * Prior administrative/financial experience at UNM * Proficiency with Microsoft Suite, Smartsheets, Banner, PCard and video conferencing platforms * Experience scheduling and organizing logistics for meetings, guest speakers, and seminars * Proficiency at composing and proofreading correspondence * Experience with electronic calendaring and scheduling meetings * Experience making travel arrangements * Experience in an academic research setting |
