Position SummaryThe Office of Academic Affairs is seeking an experienced,goal-oriented, resourceful, and self-motivated Administrative Assistant 3. Theselected candidate will coordinate, oversee and/or perform a wide variety ofadministrative functions in support of the Office of the Academic Affairs. Theselected candidate will also serve as a point of contact for internal andexternal constituencies who are contacting the office and will also serve asprimary point of contact for the office’s two Associate Provosts.

The successful candidate must be willing and able to work ina professional, fast paced environment. Responsibilities will includeperforming and/or oversight of a variety of administrative supportresponsibilities and planning activities, including providing administrativesupport to the Associate Provosts. This support includes managing theschedule/calendar, setting up meetings and taking minutes, preparing travel,handling telephone communications, and assisting with written correspondence. May also assist with routine HR transactions.

It is essential in this position that the selected candidatehave excellent attention to detail, multi-tasking abilities, and a willingnessto learn and work in a team environment. The selected candidate must possessexcellent oral and written communication skills. These individuals may workwith highly sensitive and confidential information.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Outstanding communication skills - verbal and written
  • Experience providing administrative support and management of confidential materials
  • Experience working in an upper level administrative/executive office setting
  • Experience with HR transactions
  • Proficiency or advanced skills with Microsoft Office Suite, including Word, Excel and PowerPoint
  • Experience scheduling and coordinating complex meetings
  • Excellent interpersonal, teamwork and problem-solving skills
