Position Summary

The Anderson School of Management (ASM) at the University of New Mexico (UNM) is looking for a student -focused, detail-oriented individual with a warm and professional demeanor to join our growing Business Operations team as an Administrative Assistant 3. Reporting directly to our Operations Manager, the Administrative Assistant 3 will work within the structure of our Business Operations team but primarily provide administrative support to our Undergraduate Advising team.

Specific duties will include:

  • Serving as primary initial point of contact for students seeking the services of our advisement team through in-person, phone or department email communication.
  • Distributing student requests for completion of university forms or information inquiries to appropriate advising staff for timely response.
  • Utilizing the University Student Hub system to schedule advisor appointments for students, enter notes into the system and maintain the records in accordance with best practice.
  • Coordinating logistics for events hosted by the undergraduate advising team.
  • Training and overseeing student employees working in the advisement area.
  • Coordinating travel arrangements for staff and faculty.
  • Providing coordination and logistics assistance for new student orientation sessions.
  • Participating and actively contributing in staff meetings to continually maintain knowledge of department and university policies and procedures.
  • Submitting all marketing requests related to UNM admission events on and off campus.
  • Purchasing activities for the college, working in a queue system to self-assign tasks as trained.
  • Performing miscellaneous job-related duties as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Excellent interpersonal skills and ability to work with a variety of individuals at different levels in the organization
  • Demonstrated experience providing outstanding customer service in a high-volume work environment
  • Ability to effectively communicate, verbally and in writing
  • Experience scheduling for multiple calendars requiring ability to effectively prioritize requests
  • Ability to balance strong attention to detail with timeline sensitive work
  • Strong organizational skills and methodologies for tracking projects and status
  • Previous experience utilizing a purchase card and/or other business purchasing experience
