Position Summary

The HSC Faculty Contracts Office seeks a highly motivated organized person to join our team. It is a challenging position that requires an individual who is dedicated to excellence in customer service and excels at managing multiple competing deadlines and responsibilities.

This individual will be responsible for managing front desk coverage and provide administrative support to the department. This includes:

  1. Assists with and is back up for the School of Medicine Faculty Position Review Committee process
  2. Responsible for managing front desk
  3. Provide administrative support, including answering the main phone line, assisting visitors, ordering office supplies, running errands on both HSC and Main Campus, making travel arrangements, timekeeping and staff hires in UNMJobs
  4. Responsible for assisting new hires with the completion their I-9 and maintaining the HSC I-9 records
  5. Responsible for Banner data entry and review and approval of EPAF Incentive Payments
  6. Responsible for Affiliate appointments
  7. Responsible for running and working E-verify and Vital Error Report
  8. Responsible for monitoring, reconciling and assisting the Director with the HSC Faculty Compensation Plan and Faculty Contract renewals
  9. Responsible for running new faculty OIG Exclusion Checks
  10. Other miscellaneous job-related duties

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience with:

  1. Providing high-quality customer service especially in an academic setting
  2. UNM Non-Standard Payment EPAF process
  3. HR/PR Banner system
  4. School of Medicine Faculty Position Review Committee (PRC) process
  5. Assisting with completion of I-9's and maintenance of I-9 records
  6. UNM P-card and Banner finance system
  7. HSC Faculty Compensation Plan and Faculty Contract annual renewal process
