Position Summary

New Mexico PBS at the University of New Mexico is seeking a motivated, dynamic, detail-oriented individual to join our team as an Administrative Assistant 3. The idea candidate will have exceptional organizational and communication skills (both written and verbal) with a strong customer service approach. This position oversees the front desk operations and supervises up to 3 student employees, so punctuality and reliability are critical to this position (M-F 8-5).

Responsibilities of the position include:

1. Provide administrative support for KNME-TV. Answer the main phone line, greet and assist visitors, maintain the office conference room (and calendar), supervise student employees, and assist other department staff with administrative activities that may include scheduling assistance, meeting preparation, etc.

2. Serve as the primary p-card holder, responsible for purchasing supplies and coordinating travel for departmental staff. Maintain departmental parking permit purchases, dept. fuel card and other requirements as needed.

3. Provide support for departmental events including contracting with vendors, managing registration lists, and other administrative items.

4. Serve as the primary timekeeper for the department entering time per University policy and guidelines and maintains records accordingly

5. Serve as the primary processor for cash receipts in accordance with University policies and procedures.

6. Assist Sr. Fiscal Services Tech with maintaining, monitoring and reporting department inventory per University policy and guidelines.

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience with or the ability to quickly learn university financial systems and procurement practices to include but not be limited to: P-cards, purchasing, special exceptions, Chrome River, LoboMart, time
sheets, and travel reimbursement processes.

  • Proficiency with MS Office Suite
  • Experience scheduling and coordinating meetings
  • Experience with inventory tracking
  • Experience handling cash receipts
  • Excellent interpersonal, teamwork & problem solving skills.
