Position Summary

The UNM Taos High School Equivalency Program (HEP) and Veterans Upward Bound (VUB) are seeking an articulate, organized individual for a full time Administrative Assistant 3 position. Through instruction and support, HEP seeks to eliminate the barriers that prevent seasonal and migrant workers from obtaining a High School Equivalency credential. Veterans Upward Bound aims to help veterans transition from the military to post-secondary education settings.

Our Administrative Assistant 3 will be an articulate, self-motivated, dependable, problem solver who is enthusiastic about working in a collaborative team environment. This is a front office position, requiring interaction with the public and students/clients of many programs. Must be highly skilled with Microsoft Suite, able to create and maintain Access and other databases. Accurate data entry and financial tracking required.   • Develops and continually revises standard operating procedures manuals, student and staff handbooks for the High School Equivalency Program (HEP) and Veterans Upward Bound (VUB) incorporating Federal funder regulations as well as UNM rules/policies.
  • Creates , revises and maintains an Access database for HEP student data and implements Blumen database for VUB as well as paper files to be used in interim and annual Federal funder performance reports
  • Is a primary point of contact interacting diplomatically with UNM Taos programs at Civic Plaza Drive such as TECC, VUB, HEP, SBDC, Career Services and Digital Media Arts as well as outside agencies collaborating with HEP and VUB.
  • Supervises work-study and student employee personnel including recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution.
  • Monitors monthly budget and expense tracking for HEP and VUB both federal grant funded programs.
  • Supports the planning, coordination, development, and implementation of short and long-range goals and objectives of VUB and HEP.
  • Plans and arranges for the timely purchasing of supplies for the HEP and VUB Programs as well as arranging supplies and service of copier shared by all UNM Taos programs on Civic Plaza Drive.
  • Researches current information and develops statistics and reports toward grant proposal creation in support of HEP and VUB.

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications


  • Associates degree

  • Bilingual English/Spanish

  • Strong supervision skills

  • Skill in the use of computers including Windows/Microsoft software

  • Strong interpersonal, oral and written communication skills

  • Ability to make administrative/procedural decisions and judgments
