This position will report to the Executive Assistant to the Chair and will participate in the following functions:
Managing operations and facilities requests in ticketing system
.50 FTE P-Card purchasing and reimbursements for 50+ Faculty and 15+ Staff (bus. Cards, supplies, travel, dues/subscriptions, etc.)
.25 FTE Admin Support for Vice Chair of Education, VC Equity, Inclusion and Diversity and Rural Fellowship program
Front Desk support and backup
Distribution of mail
Telecomm and IT support and maintenance
Audio/Visual and conference room support
Maintenance of departmental materials, forms, etc.
Creating and distributing the department newsletter
This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes
Experience with Banner Forms for time entry
Knowledge of maintaining office equipment such as fax machines, printers, copiers and desktops
Basic knowledge of troubleshooting software
Ability to work independently and manage multiple projects
Excellent customer service skills and problem solving skills
Intermediate to Advanced knowledge of Microsoft Office - Word, PP, Excel and Publisher
Experience with electronic calendaring and scheduling meetings
File creation and maintenance knowledge
Experience with front desk duties such as answering and transferring calls and greeting visitors
