The Department of Family and Community Medicine seeks a professional, dynamic, customer focused Admin Assistant 3 to join our team and support our faculty, staff and students. This position will report to the Executive Assistant to the Chair and will participate in the following functions:

  • Managing operations and facilities requests in ticketing system
  • .50 FTE P-Card purchasing and reimbursements for 50+ Faculty and 15+ Staff (bus. Cards, supplies, travel, dues/subscriptions, etc.)
  • .25 FTE Admin Support for Vice Chair of Education, VC Equity, Inclusion and Diversity and Rural Fellowship program
  • Front Desk support and backup
  • Distribution of mail
  • Telecomm and IT support and maintenance
  • Audio/Visual and conference room support
  • Maintenance of departmental materials, forms, etc.
  • Creating and distributing the department newsletter
  • Updating the admin group intranet

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes
  • Experience with Banner Forms for time entry
  • Knowledge of maintaining office equipment such as fax machines, printers, copiers and desktops
  • Basic knowledge of troubleshooting software
  • Ability to work independently and manage multiple projects
  • Excellent customer service skills and problem solving skills
  • Intermediate to Advanced knowledge of Microsoft Office - Word, PP, Excel and Publisher
  • Experience with electronic calendaring and scheduling meetings
  • File creation and maintenance knowledge
  • Experience with front desk duties such as answering and transferring calls and greeting visitors
