Position Summary

The College of Pharmacy is seeking an Administrative Assistant 3 to support faculty in maintaining and delivering Doctor of Pharmacy instruction, including instructional materials, assessments (exams), and grade management. This position involves detail oriented data entry, and the collection and archiving of student and course records for accreditation compliance. The Administrative Assistant 3 will also provide support for online course data entry and retrieval.

Under general supervision, this position will provide support to faculty in the professional curriculum delivery and maintain curriculum related records for college administration. This position will report to and support the Director of Professional Curriculum. The successful candidate must be dependable and demonstrate the ability to manage time, communicate effectively, provide attention to detail, and possess superior customer service skills.

Duties and Responsibilities:

  • Online course support for the processing of online course purchases, enrollment monitoring, monthly reporting, troubleshooting and navigation, and data entry, archiving, and retrieval.
  • Assessment support through formatting of computer-based and paper exams, copying/insertion of Scantrons, grading, proctoring, posting scores, and filing.
  • Serves as a liaison with the Accessibility Resource Center for test submission, and data, compilation.
  • Faculty support in course management, involving posting, archiving, student management and records, course set-up, resets, and adding users to courses.
  • Assists the Coordinator of Curriculum Development with the pharmacy skills lab course series. Includes: inventory control, proctoring, copying, and data entry to spreadsheets.
  • Administrative support for the tracking of co-curricular activities and assessments.

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
