Position Summary

The University of New Mexico Health Sciences Center Office of Research is seeking an experienced professional, highly organized, goal-driven, multi- tasker to join our dynamic Central Administration team as an Admin to Executive Director. This position will directly support the Vice President for Research. It is a complex position that requires an individual who has the ability to secure confidential information and who excels at managing multiple competing deadlines and responsibilities.

This position requires someone who has outstanding professional communication skills (both written and verbal), executive level support experience, demonstrates follow-through skills and dedication to high quality output.

This individual will be responsible for:

  • Providing confidential administrative support for the Vice President of Research, HSC. This includes managing schedule/calendar, making travel arrangements, screening and handling telephone and emails communications, and dealing with administrative inquiries as appropriate.
  • Serve as the primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of topics and issues related to the Vice President for Research.
  • Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses and reminders as appropriate.
  • Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
  • Responsible for organizing and facilitating meetings, conferences and other special events that includes the Excellence in Research Award Ceremony, and other events that involve the Vice President of Research, HSC.
  • Meeting coordination including the preparation of agendas and minutes for the Vice President of Research, HSC, OR Executive Leadership meetings and others as necessary.
  • Purchasing activities - including items over $5K. P-Card and PO transactions-complete purchasing as requested and required.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Bachelor's Degree
  • Ability to use independent judgment and manage and impact confidential information
  • Problem solving
  • Experience providing executive level administrative support
  • Extensive advanced experience with Microsoft Office Suite including Outlook for email and calendar, Word, Access, PowerPoint and Excel
  • Professional written and verbal communication
  • Experience with meeting coordination and time management
  • Experience taking, transcribing and editing recorded or written meeting minutes
  • Experience in project management
  • Experience in planning and executing conferences and events
  • P-card use and reconciliation experience
  • Experience with managing and making travel arrangements
