Position Summary

The University of New Mexico School of Medicine Research Officeis seeking a highly organized, detail-oriented individual with exceptional interpersonaland communication skills to join our team as an Administrative Assistant to ExecutiveDirector.

The School of Medicine Research Office supports a broad portfolioof research, research education, faculty development, and workforce developmentprograms that advance the research mission of the University of New Mexico HealthSciences Center.

This position serves as the primary administrative supportresource for the Senior Associate Dean for Research and provides administrativesupport for the School of Medicine Research Office and School of MedicineResearch Education Office. Responsibilities include coordinating executivescheduling, meetings, communications, travel arrangements, documentpreparation, records management, and administrative activities that supportresearch, research education, faculty development, and workforce developmentinitiatives. The ideal candidate will possess exceptional organizational skills,strong attention to detail, a commitment to customer service, and the ability tomanage multiple priorities while maintaining professionalism and confidentiality.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

•Demonstrated track record providing executive-level administrative support to senior leadership.
•Experience managing multiple calendars and effectively prioritizing competing requests.
•Experience coordinating complex meetings, events, and travel arrangements.
•Strong organizational skills with the ability to manage multiple projects, deadlines, and follow-up activities simultaneously.
•Excellent verbal and written communication skills.
•Exceptional attention to detail and commitment to accuracy.
•Ability to maintain confidentiality and exercise sound judgment.
•Experience preparing professional correspondence, reports, presentations, and meeting materials.
•Experience working in higher education, academic medicine, healthcare, research administration, or a related professional environment.
•Proficiency with Microsoft Office Suite, Microsoft Teams, and related administrative software systems.
•Experience with purchasing, PCard reconciliation, travel processing, expense documentation, and other administrative business functions.
•Demonstrated ability to build effective working relationships and provide outstanding customer service to individuals at all levels of the organization.
