Position Summary

The University of New Mexico, College of Nursing invites application for an Administrative Assistant to the Dean. We are seeking a dynamic, customer service-oriented individual who is able to manage and adapt to a changing and fast-paced environment. This position coordinates, oversees, and/or performs support activities on behalf of the Dean. Serves as primary point of operational and administrative contact for internal and external constituents, often on complex and confidential issues. Oversees the administrative support for the Office of the Dean and coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects. Maintaining a professional demeanor at all times with internal and external constituents is paramount. May serve on a variety of committees in a support capacity.

Major Responsibilities Include:

  • Primarily provide administrative assistant to the Dean with backup support to Associate Deans, including the ability to prioritize and triage incoming phone calls, inquiries, and schedule appointment requests.
  • Organize and coordinate meetings and/or special events on behalf of the Dean along with preparation of speaking points. Develop PowerPoint presentation, and bios on attendees.
  • Coordinate and manage conferences/meetings on behalf of the Dean to include budget planning and use of funds, logistics, agendas, and/or travel for external and internal constituents.
  • Monitor, reconcile and assist with fiscal administration including travel and purchasing.
  • Taking minutes for various meetings

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

· Microsoft Office Suite

· Assist in fostering collaborative partnerships

· Basic accounting skills

· Strong organizational and time management skills

· Prior experience providing support to executive level leadership
