Position Summary

The Anderson School of Management (ASM) at the University of New Mexico (UNM) is looking for a highly organized, detail-oriented individual with a warm and professional demeanor to join our team as an Administrative Assistant to the Dean.

The successful candidate will have a passion for and proven track record providing outstanding administrative support, a keen eye for details, and a desire and ability to learn. This position will report directly to the Academic Operations Officer.

Specific duties will include:

  • Serving as primary point of contact for the Dean, greeting and directing visitors, faculty and staff, dealing with administrative inquiries, and coordinating and overseeing daily Dean’s Office activities;
  • Scheduling and coordinating the Dean’s appointments, including travel arrangements, and coordinating with ASM, UNM, UNM Foundation, and external engagement calendars;
  • Preparing and providing meeting materials in advance for the Dean’s review and reference;
  • Proactively scheduling school-wide events to staff and faculty calendars;
  • Working with Anderson’s Communications and Events team to prepare and project manage executive communication from the Dean’s Office;
  • Preparing agendas and taking minutes in meetings that are led by the Dean;
  • Tracking projects and updating status reports for various Dean’s Office projects
  • Serving as a secondary point of contact for room and parking reservations for ASM;
  • Assisting with administrative activities associated with large-scale events hosted and sponsored by ASM;
  • Providing oversight and training for other administrative staff located in the Dean’s Office.
  • Performing miscellaneous job-related duties as assigned.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Demonstrated track record providing effective administrative support for executive level leadership
  • Experience managing a complex calendar requiring ability to effectively prioritize requests
  • Ability to balance strong attention to detail with timeline sensitive work
  • Ability to effectively communicate, verbally and in writing
  • Strong organizational skills and methodologies for tracking projects and status
  • Excellent interpersonal skills and ability to work with a variety of individuals at different levels in the organization
  • Previous experience utilizing a purchase card and/or other business purchasing experience
