Position Summary

The UNM Honors College is currently seeking a professional and detail-oriented Administrative Assistant to the Dean. This position is instrumental in providing comprehensive office support, assisting in various administrative tasks, and contributing to the overall effectiveness of the college.   • Provide staff and office support for the dean, including screening and handling telephone communications, greeting and directing visitors, and addressing administrative problems and inquiries as appropriate.
  • Act as a primary point of contact and liaison between the office, students, and external constituents regarding a range of day-to-day issues.
  • Organize and facilitate meetings and special events by scheduling and coordinating dates, times, venues, attendance, agendas, and facilities including catering and parking arrangements for events.
  • Take minutes and provide administrative support, following up on matters arising from meetings.
  • Compose and prepare written documentation and correspondence for the office. Screen and evaluate incoming and outgoing correspondence, preparing responses as needed.
  • Schedule and coordinate the dean's appointments and travel arrangements, and oversee daily office activities.
  • Gather, enter, and update data to maintain departmental records and databases as required. Establish and maintain files and records for the office.
  • Coordinate and oversee the daily management of supplies, equipment, and facilities for the organization. This includes maintenance, inventory management, logistics, security, and related activities.
  • Perform miscellaneous departmental job-related duties as assigned by the Dean.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Bachelors Degree
  • Excellent oral and written communication skills for creating correspondence and reports.
  • Exceptional customer service and organizational skills.
  • Accurate and detail-oriented experience in data entry.
  • Proficient in using MS Office, Outlook Calendar, and video conferencing software (e.g., Zoom, Teams, etc.).
  • Previous experience in Higher Education settings.
