Position Summary

The Division of Nephrology, in the Department of Internal Medicine, is seeking an Administrative Assistant 2. This position will assist the faculty, fellows, and staff in everyday office and operational support. The AA2 will assist the Unit Administrator with budget preparation and financial oversight of the division. They will assist faculty with licensure and credentialing compliance.

Duties include, but are not limited to:

  • Providing clerical, word processing, and staff support to the division
  • Using Banner, preparing reimbursements, Non-Standard Payments, creating PO's, processing JV's, re-allocating P-Card charges, monitoring unrestricted accounts
  • Maintaining budget worksheets by running reports in MyReports, analyzing the data and reconciling the information to ensure fiscal integrity
  • Ensuring faculty medical, board of pharmacy and DEA licenses are renewed and up-to-date
  • Providing coverage for fellowship coordinator when the coordinator is on leave. This includes overseeing fellowship didactic conferences, board review, and schedule changes

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experience with Banner Finance Systems, Chrome River, and Purchasing Card policies
  • Knowledge of UNM Policy and Procedure
  • Experienceworking with confidential information
  • Experience with Word, Excel, and PowerPoint
  • Experience working in an academic setting
