Position Summary

The University of NewMexico-Taos is seeking an experienced, motivated, anddetail-oriented administrative professional to support the executivefunctions and daily operations of a growing college campus, includingadministrative support to the Chancellor andexecutive office staff.

The AdministrativeCoordinator performs a variety ofassociated administrative, fiscal, staff support and planning activities, someof which require knowledge and skill in record keeping, database management,information gathering, and written correspondences. The administrative coordinatorfacilitates meetings, program functions, and or special events, and may coordinatespecified administrative activities across multiple departments.

The Administrative Coordinatoris responsible for purchasing and stocking office supplies, coordinating traveland lodging arrangements including processing travel and expense reimbursements.

The idealcandidate will be a team player with strong critical thinking and problem-solvingskills, and the ability to maintain the highest level of professionalism andconfidentiality.

This positionwill be responsible for a wide variety of projects including:

Prepare correspondence (emails, memos, letters, etc.) for submission to external audiences such as UNM Main Campus, the New Mexico Higher Education Department, local, state, and federal governmental agencies, and internal UNM-Taos staff, students, and faculty; prepares reports, presentations, newsletters, and other publications as needed.

This position will be responsible for a wide variety ofprojects including:

  • Prepare correspondence (emails, memos, letters, etc.) forsubmission to external audiences such as UNM Main Campus, the New Mexico HigherEducation Department, local, state, and federal governmental agencies, andinternal UNM-Taos staff, students, and faculty; prepares reports,presentations, newsletters, and other publications as needed.
  • Administrative organization such as document/ filemanagement (physical and electronic);
  • Staffing the reception area in the Executive Office: greets anddirects visitors; answers queries and/or directs to more appropriate staffmembers, as appropriate.
  • Manages calendar(s) including scheduling of meetings, travel,training sessions, consultations, staff leave and other special events.
  • Manage the inventory, purchasing, maintenance, andorganization of office supplies
  • Coordinate/schedule/purchase travel logistics (airfare,hotel, car rental, conference registration)
  • Assisting with the planning and organization of events andspecial projects.
  • Coordinates regular staff meetings, including scheduling,venue reservations, catering (if needed), note taking and archiving.
  • Researches information, compiles statistics, and gathers andcomputes various data; prepares special and/or one-time reports, summaries, andpresentations; or replies to inquiries, selecting relevant data from a varietyof sources.
  • Miscellaneous job-related duties as assigned.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

3-5 years’ experience in managing executive offices.

Demonstrated high degree of computer literacy, including proficiency inMicrosoft Word, Excel, Publisher, PowerPoint and Outlook (Office 365) andcalendar/schedule management.

Demonstratedexperience interfacing with community and government entities.

Demonstrated abilityto work independently in a self-motivated environment and also in a teamcollaborative setting.

3-5 years’experience in coordinating special events and activities to include meetings,workshops, trainings, open houses, etc.

Demonstratedexceptional interpersonal skills, and NACE* core competencies to include:Confidentiality, Critical Thinking/Problem Solving, Oral/Written Communication,Teamwork/ Collaboration, Digital Technology, Leadership, Professionalism/WorkEthic, Career Management, and Global/Intercultural Fluency. *NACE (NationalAssociation of Colleges and Employers).

Associate Degree or higher.
