Position SummaryCoordinates, oversees, and/or performs a wide variety of administrative, secretarial and program support activities on behalf of Vice President for Equity and Inclusion. Serves as primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues. Coordinates the provision of office and staff support services to the office, and participates in coordination, supervision, and completion of special projects and/or events. Coordinates maintenance of VPEI’s calendar. Plans, coordinates, and revises written communications, including material for publication in newsletters, newspapers, magazines, or websites. Monitorsstudent staff time and enters time sheets for DEI and its units. Holds secondary PCard for office to be used to coordinate travel andpurchases for office as needed. Take minutes at DEI-led meetings and prepare summaries for team.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • A BA or BS degree
  • At least 5 years of experience directly related to the duties and responsibilities specified.
  • Plan, coordinate, and revise written communications, including material for publication in newsletters, newspapers, magazines, or websites.
  • Help with editing process by fixing any grammatical, punctuation and spelling errors and ensuring that newsletters/articles/websites are written in accordance with the style guide, working closely with VP and DEI staff, suggesting changes to enhance newsletters’/articles'/websites’ readability, conciseness and style.
  • Experience working directly with people from diverse backgrounds
  • Ability to flex communication style to multiple cultural environments
  • Proven knowledge of executive level administrative principles and practices; experience working for an Executive Director
  • Strong organizational and administrative skills managing multiple projects including managing calendars and scheduling meetings in Outlook
  • Experience in creating agendas and taking meeting minutes
  • Strong computer skills and familiarity with Microsoft applications, i.e., Excel, Word, PowerPoint, and Access, for word processing
  • Experience with data management and presentation preparation
  • Ability to plan, coordinate and execute special events; proven skills in planning, analyzing and coordinating complex activities and establishing priorities
