Position SummaryThe University of New Mexico Health Sciences Center (HSC) is seeking a highly skilled and collaborative Administrative Officer to support the Office of Academic Affairs in advancing its mission of excellence in education and community engagement. This position plays a critical role in coordinating administrative and operational functions that enable academic leadership to grow and deliver innovative programs, strengthen faculty success, and enhance student outcomes across health professions.

Reporting to the Vice President for Academic Affairs, the Administrative Officer serves as a central point of coordination for initiatives aligned with HSC priorities, including interprofessional education, workforce development, and improving health outcomes in the communities we serve. The role integrates strategic project support, operational oversight, and cross-functional collaboration to ensure efficient office operations and effective execution of academic programs.

Key responsibilities include managing day-to-day administrative operations; supporting planning and implementation of academic initiatives; facilitating communication and collaboration across departments, faculty, and external partners; and preparing reports and analyses to inform decision-making. The position also oversees meeting coordination, committee support, and resource management, while ensuring compliance with university policies and alignment with institutional standards

  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
Minimum Qualifications

High school diploma or GED; at least 7 years of experience related to the duties and responsibilities specified, of which at least 2 should be directly related to managing at least one of the functional areas of fiscal services, administration and/or human resources.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Advanced education (e.g., bachelor’s or master’s degree) in business administration, public administration, higher education, or a related field.
  • Extensive experience in administrative operations, including office management, policy development, and procedural oversight.
  • Demonstrated ability to manage and coordinate multiple projects, priorities, and deadlines simultaneously.
  • Strong analytical and research skills, with experience preparing complex reports and handling sensitive or confidential information.
  • Experience in budget development, fiscal management, and monitoring expenditures.
  • Proven ability to serve as a liaison and effectively communicate with diverse stakeholders, including faculty, staff, students, and external partners.
  • Supervisory experience, including training staff, assigning work, and monitoring performance.
  • Knowledge of university policies, procedures, and administrative practices within a higher education environment.
  • Strong organizational, problem-solving, and decision-making skills, particularly in handling complex or sensitive administrative issues.
  • Proficiency in office technologies and systems, including word processing, spreadsheets, database management, and reporting tools.
