Position Summary

Are you outgoing, confident and professional in all you do? TheSchool of Engineering and College of Arts & Sciences is seeking anexperienced Administrative Coordinator for the Graduate multi-disciplinaryprograms of NanoScience and MicroSystems Engineering (NSME) and BiomedicalEngineering (BME). You will report to the director of each program.

We are seeking someone with experience in graduate studentadvisement or student recruiting/admissions, who will also handle graduatefellowships, accreditation review, course planning/schedule/catalogue, andday-to-day operations. Other responsibilities will include managing theoperational planning of the program with the oversight of the program Directorsto include (but not limited to) budget submission, budget review, budgetforecast, expense management, grant management, contracts, reimbursements andpurchasing, advisory board relations, and public relations (includingadvertisement and outreach).

This position requiresstrong organizational skills, attention to detail, and the ability to handleconfidential matters professionally. There are no additional staff working inthis program, so it’s imperative you are a self-starter and internallymotivated to get things done.

Conditions of Employment
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Bachelors Degree (Any area. Business or Arts & Sciences discipline preferred)
  • Prior administrative assistant experience in an academic program/department
  • Experience with academic advisement in higher education
  • Successful Experience: creating purchase orders; preparing reimbursements for travel or goods; with a corporate credit card; with UNM’s Banner and Lobo Web systems for procurement
  • Bookkeeping/reconciliation experience
  • Customer service and phone etiquette knowledge and experience
  • Grammar proficiency and the ability to write well
  • Knowledge of business and office etiquette and ability to keep matters confidential
  • Proficiency in MS office, specifically Word, Excel, Outlook
  • Ability to: work independently; work as a member of a team; take initiative
  • A demonstrated commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities.
