The Department of Chemistry & Chemical Biology is seeking a Fiscal Services Tech to join our high performing-dynamic team. We are looking for a knowledgeable, detail-oriented, problem-solving individual with excellent customer service skills. The Department currently has 16+ tenure-track faculty who have a large research portfolio. These research activities require continuous purchasing of chemicals and lab supplies and will require on-going communication with faculty/research assistants both inside and outside the department.

The candidate who is selected for this position must be flexible and adaptive to a variety of customers and responsive to needs of the researchers within the College of Arts & Sciences and the Department of Chemistry & Chemical Biology. Other important skills include: attention to detail, comfortable with basic accounting, reconciliation, invoicing and balancing.

Duties include the following:

  • Primary P-Card holder for The Department of Chemistry while assisting multiple College of Arts & Sciences departments.
  • Processing all chemical and lab supplies transactions on a P-card ranging from $30,000 to $45,000 on a monthly basis.
  • Allocate charges to both restricted and unrestricted accounts, and maintain knowledge of available funds in accounts
  • Assist in championing ChromeRiver for the College in P-Card, travel, and reimbursement transactions as directed by the College financial office
  • Assist with standard departmental purchasing
  • Assist faculty, student and staff with reimbursement request on a daily basis
  • Assist with NMR and MSF cost center billing, budgets, and other cost reports
  • Help prepare purchasing, travel, personnel, or related documents
  • Distribute, review, calculate, and process payroll time sheets; verifies account numbers; maintains sick and annual leave and other payroll records

  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

  • Basic accounting or bookkeeping courses
  • Advanced data entry skills
  • Familiarity with Microsoft Office Suite and ChromeRiver (or similar reconciliation software)
  • Comfortable with basic math and number calculations
  • Knowledge of payroll policies and laws
  • Ability and curiosity to analyze and solve complex problems
  • Outstanding customer service attitude
  • Excellent team engagement
