Position Summary

The Office of Education, within the Department of Internal Medicine, is seeking a Medical Education Program Assistant 1 for supporting all aspects of the Internal Medicine Clerkship Program. This position is responsible for providing support to the Program Coordinator, Program Manager, and be a first point of contact for residents, students, and faculty for the Education division. The Program Assistant 1 will be responsible for organizing, setting- up, and cleaning-up after regular events such as Phase 2 and 3 Orientations, tracking attendance for required lectures and other events, distributing and collecting student evaluation forms to faculty and preparing them for the coordinator to input grades. Will work with the program coordinator for creating the lecture schedule for each block, uploading information to student learning platform, manage and respond to emails for the clerkship account as appropriate, event planning and scheduling, ordering supplies, getting program materials printed and distributed. Updating software and spreadsheets for managing student information and rotations. The Assistant 1 will also be responsible for answering phones and responding other inquiries for the Education division. They will also provide support and back-up for the Residency on an as needed basis. The successful candidate will have exceptionally strong computer, communication, and organizational skills.

This is a high priority position for a complex and active unit within Internal Medicine.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Able to communicate effectively, professionally, inclusively, and in a timely manner. With strong written and verbal communication skills.

  • Demonstrated effectiveness at working in a team environment and supporting fellow employees in their work.
  • Demonstrated ability to work on multiple computer software applications and be confident in learning new systems
Additional RequirementsMust be available for some early morning, weekend or evenings as needed for recruitment season or special events.
