Position Summary

The UNM School of Medicine Office for Continuous Professional Learning (CPL) seeks a service-oriented Operations Manager with proven ability to effectively manage in a collaborative environment. The successful candidate will lead and manage the CPL office, including managing operations, training and supervising staff and student employees, evaluating and managing projects, and provide budgeting oversight. This individual will serve as a principal representative and liaison with internal and external constituencies on operational matters, and provide day-to-day guidance and leadership as appropriate to the area of expertise.

Duties and Responsibilities:

Operations:

* Provide support, training and assistance to all CPL staff, Assoc. Dean, and Directors, as requested or situationally required.

* Represent CPL by attending, facilitating, and/or and providing support to meetings as requested by Assoc. Dean.

* Oversee/monitor compliance with UNM and HSC policies, procedures, and required training.

* Assist departmental administration and staff with strategic planning.

* Collaborate with Assoc. Dean to develop office policy and procedures; produce and continually maintain documentation of procedures and staff expectations.

* Assist with program evaluation.

* Collaborate with Assoc. Dean to determine roles/responsibilities of office support staff, organizational structure and hiring.

* Directly supervise at least seven regular staff; indirectly supervise two student employees; provide human resource and policy guidance, coaching, encouragement and support the professional development of lower graded staff and student employee(s).

* Draft or write wide range of departmental correspondence and/or reports.

* Learn and utilize available systems (e.g., Smartsheet), programs and resources to achieve operational and programmatic goals in the most efficient and effective manner.

Fiscal Oversight:

* In coordination with Assoc. Dean and Sr. Fiscal Svc. Tech:

o Provide fiscal oversight, budget development and projection

o Monitor the administration of program revenues and expenses

o Establish registration fees for CME-accredited activities

o Review and/or create internal financial reports

o Review and/or approve departmental expenditures

* Review/sign timesheets for lower graded staff and student employee(s);

* Attend and provide information for periodic budget meetings with Financial Analyst and Dean

* Review/sign Letters of Agreement; supervise and support CPL events team; coordinate with relevant CPL personnel in the development and approval of CPL services fees, and event-specific budgets

Marketing/Communications:

* Collaborate with web designer/master; provide a line of communication with HSC Communications & Marketing; approve CPL event entries on HSC Events Calendar for publishing to CPL’s website

* Assist to develop, design, edit, and produce of promotional materials

Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

* Excellent oral and written communication skills. Written skills to be demonstrated in the required cover letter.
* Prior project management and leadership experience.
* Experience planning, organizing and overseeing programs in an academic setting.
* Experience supervising and training staff and/or student employees.
* Experience developing, implementing, and interpreting goals and policies and procedures.
* Demonstrated ability to work creatively, collaboratively, and effectively, both as a team member and leader.
* Budget custodianship and oversight.

Additional RequirementsWorking hours are Monday through Friday, 8 a.m. to 5 p.m. However, occasional weekend and/or evening work may be required, depending on department needs.
