Position Summary

The UNM School of Medicine, Office of Undergraduate Medical Education Curricular Support Center (CSC) seeks a service-oriented Operations Manager with proven ability to effectively manage in a collaborative environment. The successful candidate will lead and manage the CSC office, including managing operations, training and supervising staff and student employees, evaluating and managing projects, and providing budgeting oversight. This individual will serve as a principal representative and liaison with internal and external constituencies on operational matters and provide day-to-day guidance and leadership as appropriate to the area of expertise.

Duties and Responsibilities:

  • Provide support, training, and assistance to all CSC staff, Assoc. Dean and Directors, as requested or situationally required.
  • Represent CSC by attending, facilitating, and/or providing support to meetings as requested by UME Assoc. Dean of Education and Assistant Deans.
  • Determine roles/responsibilities of office support staff, organizational structure, and hiring.
  • Directly supervise seven regular staff.
  • Draft or write a wide range of departmental correspondence and/or reports.
  • Learn and utilize available systems (e.g., Smartsheet), programs, and resources to achieve operational and programmatic goals most efficiently and effectively.
  • Coordinate teaching faculty Letters of Academic Title and HSC/site Affiliations Agreements for teaching faculty and student site rotations.
  • Provide fiscal oversight, budget development, and projection.
  • Review and/or approve departmental expenditures.
  • Review/sign timesheets for lower-grade staff and student employee(s).
  • Attend and provide information for periodic budget meetings with the Financial Analyst and Dean.

Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Excellent oral and written communication skills. Written skills to be demonstrated in the required cover letter.
  • Prior project management and leadership experience.
  • Experience planning, organizing, and overseeing programs in an academic setting.
  • Experience supervising and training staff and/or student employees.
  • Experience developing, implementing, and interpreting goals and policies, and procedures.
  • Demonstrated ability to work creatively, collaboratively, and effectively, both as a team member and leader.
  • Budget custodianship and oversight.
