Position Summary

The Office of the University Secretary (OUS) is seeking an experienced Operations Specialist. OUS is headed by the Secretary of theUniversity and reports to the Provost. OUS is a main source of continuity infaculty government. The leadership of the faculty, the Faculty Senate, theSenate Operations Committee, the Committee on Governance, and the AcademicFreedom and Tenure Committee rely on the information and advice from theUniversity Secretary. The office also provides administrative support to approximately26 faculty standing committees and various ad hoc committees. OUS is also responsiblefor ceremonial events, including Commencement, the campus-wide graduation ceremonyfor all students held in the Spring and Fall of each year, and First Year Convocationin August.

The Operations Specialist is responsible for:

  • designing, developing, coordinating, and facilitating the execution of specified projects and initiatives for the office
  • developing project priorities and schedules, in line with strategic plans and operating objectives
  • providing specialized advice, research, facilitation, and support to administration, faculty, staff, and/or students in the development and implementation of effective systems, procedures, programs, and/or practices
  • overseeing and providing policy development and implementation support, ensuring compliance with university policies and procedures and state and federal laws, regulations, policies, and guidelines
  • directly supporting key faculty governance committees including the Academic Freedom and Tenure Committee and other Faculty Senate Committees such as the Policy Committee, Faculty Ethics Advisory Committee, and the Health Sciences Center Council
  • assisting with formal academic ceremonies including University Commencement and First-year Convocation
    performing other duties as assigned to support the work of the office

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Bachelor's Degree
  • Demonstrated knowledge of higher education policy
  • Experience with file management systems
  • Experience handling confidential information
  • Experience working in an academic environment
