Position Summary

The Physician Assistant Program in the Department of Family and Community Medicine has an exciting opportunity for a highly-motivated, professional, team-oriented Operations Specialist to join our Clinical Team. This dynamic position will work with the Clinical Coordinator, Clinical Team, other PA faculty and staff, and preceptors to place students in clinical rotations across New Mexico. This position is critical to the PA Program’s mission of educating PA students to become exemplary providers with a focus on primary care medicine for the underserved and rural populations of New Mexico.

Duties and responsibilities include:

  • Plan and coordinate preceptor recruitment efforts and clinical placement logistics as lead staff member on the PA Clinical Team, to help the program meet its mission of placing students in medically underserved and rural populations of New Mexico for nine Supervised Clinical Practice Experiences (SCPEs) and two Continuity Clinic experiences for each student.
  • Serve as liaison and primary point of contact for internal and external constituencies regarding clinical placement. Includes outreach to clinical sites and preceptors, student clinical onboarding, and documentation. Recruit preceptors and clinical sites via email, phone, and personal visits.
  • Provide student clinical advisement and guidance in conjunction with Clinical Coordinator and Clinical Faculty. Problem-solve clinical placement issues as they arise.
  • Oversee and administer use of EXXAT STEPS clinical placement software as primary program administrator and lead for clinical placements. Maintain clinical placement records in EXXAT.
  • Submit and monitor student course registration during Clinical Year in compliance with university and program registration policies and processes.
  • Maintain preceptor records in accordance with university and accreditation standards.
  • Oversee completion and maintenance of training agreements with clinical sites, including maintaining all affiliation agreements, clearances, and legal paperwork.
  • Lead clinical compliance onboarding of incoming and current students, including background checks, documentation, mask fit testing, and other elements needed to enter the clinical setting. Work with clinical team on other aspects of hands-on clinical training.
  • Work with Clinical Coordinator and Clinical Faculty on data, reporting, and ongoing assessment pertaining to clinical education. Develop, write, edit, and present reports for ARC-PA, the PA Program, and the School of Medicine.
  • Submit applications for CME through AAPA, track and report on CME completion, and distribute certificates.
  • Support the PA Program through involvement in various program-wide initiatives and events such as admissions interviews, orientation, white coat and convocation ceremonies.
  • Other duties as assigned.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Preferred Qualifications:

  • Experience working with faculty, staff, and students in an educational program
  • Knowledge of and experience with clinical rotations in an academic health sciences program
  • Demonstrate experience collaborating and building partnerships
  • Experience working with and meeting accreditation standards
  • Able to analyze data and write reports
  • Technical skills with various computer software platforms such as Exxat, Banner, etc.
  • Critical thinking skills as demonstrated by use of independent judgment to solve complex problems
  • Self-starter, process-oriented team player
  • Flexible and willing to assist with proctoring of exams, program events, and other duties outside of primary responsibilities to support program and student success
