Position Summary

The University of New Mexico Department of Neurosciences is seeking a highly motivated self-starter to join our team as a Unit Administrator 1, coordinating the activities of our New Mexico Alcohol Research Center (NMARC) and our Alcohol Research Training Program (ARTN).

· NMARC is supported by a National Institute on Alcohol Abuse and Alcoholism (NIAAA) Specialized Alcohol Research Center P50 grant of more than a $1.7 million per year.

· The center’s central focus is a better understanding the neurobiological mechanisms underlying the behavioral problems associated with Fetal Alcohol Spectrum Disorders (FASD) (https://hsc.unm.edu/nmarc/).

· The center consists of multiple faculty, staff and trainees from several departments within the School of Medicine, along with the Colleges of Arts & Sciences and the MIND Research Network.

· ARTN’s educational goal is to train the next generation of alcohol research investigators. It is supported by a NIAAA T32 grant of $151,000 per year that funds the training of four graduate students in NMARC-affiliated laboratories (https://hsc.unm.edu/medicine/education/reo/training-programs/).

The Unit Administrator’s major responsibilities include:

· Providing day-to-day administrative support to the NMARC and ARTN Directors for oversight of all center and training grant-related activities. Tracking center productivity measures, preparing reports and renewal applications, as well as periodically updating the NMARC and ARTN websites.

· Managing the NMARC and ATRN budgets, tracking all grant-related expenses, generating monthly budget and accounting updates for the Directors and center component Principal Investigators. Also assists with end-of-budget year reconciliation and carry-forward budget requests.

· Serving as the primary liaison between center personnel and other administrative groups including Neurosciences Department office staff, the UNM Sponsored Projects Office including PreAward and PostAward grants management, UNM Financial Services, and assisting the Neurosciences Department Administrator with organization and management of job postings for new NMARC personnel, student contracts, and tuition and insurance payments.

· Assisting with the submission of individual alcohol research-related grants by NMARC-affiliated faculty and predoctoral fellowship applications by trainees.

We are looking for a team player possessing good verbal and written communication skills, who is organized and detail-oriented, has a good knowledge of basic accounting principles and is able to assist with other general office duties.

The Department of Neurosciences is a basic science research department with a diverse staff working to provide quality work in an organized, effective and efficient manner through innovation, training, and education. Through our collaborative work effort, we support the faculty, research staff and students to enhance the missions of the Department, the School of Medicine, the Health Sciences Center and UNM.

Oversees and administers programs, strategies, and initiatives designed to develop, enhance, and support the various day-to-day activities of an integrated service department or equivalent component of an identified University organizational entity. Oversees all day-to-day internal and external finance and human resources activities. Manages or coordinates facility and resource management, information services, and general department administration. Participates with the Unit Principal and internal management in strategic and operational decision making as a member of the unit's leadership team. May supervise or provide functional leadership to one or more subordinate support staff engaged in routine administrative activities.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

· Accounting experience in higher education or related field (more than two years a plus).

· Project management and/or grant/contract administration.

· MS Office suite proficiency: Excel, Access, Word, Power Point.

· Events Planning-organization/Catering.

Additional experience with the following is a plus:

· UNM software applications (Banner, MyReports, LoboMart, ChromeRiver, HR Reports, LoboWeb).

· UNM purchasing requirements.

· UNM PCard policies and procedures.
