Position Summary

Working in collaboration with the program administrators and staff, the Unit Administrator 1 administers the development, implementation and management of the Combined BA/MD Degree Program for the College of Arts and Sciences. Includes strategic planning, data collection, assessment, hiring faculty and staff, collaborating with School of Medicine BA/MD program administrators and staff. Interpreting, adapting, and integrating University policies and procedures, as appropriate, to meet the needs of the program. Assists with fiscal, operational, administrative, and human resources management of the program. Serves as principal point of representation and liaison with external constituencies on operational matters and provides day-to-day technical/professional guidance.

This position incorporates student services and affairs components to offer holistic guidance to enhance the students' experience in a rigorous four-year degree program. This position is unique in that there is student scholarship advisement in addition to administrative duties. This position reports to the Arts and Sciences Manager, Student Success of the BA/MD program.

· Responsible for providing comprehensive BA/MD Scholarship advisement to the current undergraduate BA/MD students, from entrance to transition to the UNM School of Medicine. Reviews student files to ensure deadlines are met for completing undergraduate scholarship requirements such as annual submission of FAFSA and requested supporting documentation. Awards annually BA/MD scholarship budget of approximately 1 million. Provides scholarship and financial aid advisement, monitoring, reconciling and communication with the current BA/MD students. Collects and analyzes data; prepares scheduled and special reports; maintains program records and statistical documentation. This includes special reports for scholarship analysis of annual increases, FAFSA application and award trends, and UNM scholarship contributions, etc.

· Provides and/or coordinates the provision of technical guidance, consultation, related support to students and leadership within an area of program focus. Provides day to day problem solving as necessary on program related needs and issues. Oversees committed revenue and expenses related to GA/TA/RA assistantships, tuition waivers, student employment within partnering departments such as Chemistry, Biology, Physics, Biochem, etc. Assists in event planning/hosting of student events, lectures, and activities.

· Serves as principal liaison between students, faculty, staff, other departments and/or external constituencies on day to day programmatic, operational and administrative issues. Facilitates seminars, committee meetings, special projects and problem resolution. This includes processing annual MOU's, semester assistantship contracts, and hiring of faculty, staff and students.

· Performs or delegates clerical and administrative support tasks, including creation, typing and editing of program correspondence, purchasing documents, reports, program handbook and policy development (professionalism, scholarship, etc.). This includes annual webpage development/editing for BA/MD scholarship webpages, creating annual presentations, establishing annual "Basic Educational Cost" (BEC), semester course scheduling and overrides, etc.

· Coordinates activities of support staff, consultants, faculty and/or volunteers engaged in implementation and administration of program objectives. This position plays an important role in event planning and committee support. They are tasked with room reservations, food orders, calendar appointments and administratively supporting 5 faculty/staff committees.

· Performs miscellaneous job-related duties as assigned.

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

PREFERRED QUALIFICATIONS

· Experience with combined degree programs

· Experience with retention of a diverse student population (i.e. high achieving, educationally disadvantaged, from rural and urban backgrounds)

· Experience with compiling and analyzing reports relating to annual budget planning

· Experience in scholarship and financial aid viewing, communication with appropriate departments and scholarship representatives, and comfortability of monitoring students accounts

· Proficiency in programs related to advisory duties: Banner Finance, Banner Student Information, Loboweb, Hyperion, and Microsoft Office

· Excellent written communication skills demonstrated by specific requirements addressed in the cover letter
