Position Summary

AISS is seeking a dynamic and detail-oriented Unit Administrator 1 to join a team dedicated to utilizing individual talents to collaboratively reach goals; embedding creativity in our work to address issues in new ways; displaying integrity through hard work, honesty, & respect; taking the initiative for self-improvement to expand knowledge & skills; and demonstrating the ability to adapt to dynamic shifts in environments and duties.

Critical skills for this position requires extensive operations management, program coordination support, administration of departmental operating policy and procedures; advanced interpersonal and written skills; demonstrated experience collaborating and interacting with various university units/ divisions, vendors/contractors, tribal governments, higher education programs and entities specific to American Indian/Indigenous constituents.

The individual selected for this position will:

· Manage daily administrative operations, including fiscal and budget management/reporting, human resources/personnel functions, payroll administration for 20+ staff (faculty, staff, students), operational functions of ten (10) programmatic initiatives and thirty-two (32) scholarship endowments, and support staff training.

· Provide administrative oversight & coordination for the unit's fiscal planning, review and reconciliation of monthly ledgers, budget evaluation, and unit account reporting.

· Oversee and coordinate fiscal operations to include operating budget and accounting management, contract and/or grants administration, inventory and/or equipment management, purchasing processes, and vendor contracts.

· Assist in the development of unit/programmatic strategic planning, trend analysis, special reports, program development, and department policies and operations. Coordinate department operating procedures; university, state, and federal regulations; and compliance coordination of all applicable policies.

· Coordinate workshops, seminars, special projects, and training operations logistics.

· Oversee and/or coordinate the collection, maintenance, and analysis of program activity data; and develop, write, and present comprehensive statistical and narrative program reports and evaluations. Develop public relations, education and training materials.

· Co-coordinate and serve as an active participant in a variety of department/division-specific and university-wide student programming initiatives including but not limited to: student recruitment & outreach efforts; student engagement functions, program designing & formulation, staff training, and facilities planning. AISS programs include Student Success Workshops, American Indian Summer Bridge (AISB) Program, AISS Ambassador Program, FAFSA-FOR-U, AISS Stoling Ceremony, and #AISSLobo.

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

· Demonstrated and advanced knowledge and experience utilizing Banner, MyReports, and UNMJobs functions.

· Advanced knowledge of fiscal management & PCard reconciliation protocols, human resources, project development, and strict protection of confidential records.

· Demonstrated experience developing reports, spreadsheets, and databases; and maintaining program/project records and statistical information utilizing Excel, Access, Hyperion, MyReports and Banner.

· Demonstrated experience coordinating HR/personnel functions including training, scheduling, supervising, and evaluating student and/or support staff.

· Demonstrated experience scheduling and coordinating meetings, programs, activities, and calendars for multiple staff utilizing Microsoft Outlook & Teams platforms.

· Demonstrated experience drafting and creating design sets and copy for print publications/digital & web-based communications, and social media platforms utilizing Adobe Creative applications: Illustrator, lnDesign, Adobe Express, and Photoshop.

· Conducting recruitment & outreach activities and other student support service projects/programs.

· Advanced teamwork experience and/or functioning effectively in a collaborative work-setting, multi-tasking and creative problem-solving in a high-traffic customer service environment.

· Effective communicator - both orally and in writing - and interacting with various tribal governments, organizations, higher education programs, and entities specific to American Indian/Indigenous constituents.

· Strong interactions and collaboration with a wide range of individuals representing diverse communities, ages, and cultures, and education levels.
