Position Summary

The Anderson School of Management (ASM) at the University of New Mexico (UNM) is looking for a highly organized, proactive, customer-focused individual with a warm and professional demeanor to join our growing Business Operations team as a Unit Administrator 1. Reporting directly to our Operations Manager, the Unit Administrator 1 will work within the structure of our Business Operations team but primarily provide administrative support to Anderson faculty in our academic departments.

The successful candidate will have a passion for and proven track record providing outstanding administrative support, a keen eye for details, and a desire and ability to learn. 

Specific duties will include:

  • Purchasing activities for the college, working in a queue system to self-assign tasks as trained;
  • Coordinating complex travel arrangements for faculty, staff, and for college programs. Ensuring compliance with University policies and accepted processes.
  • Coordinating faculty hiring, on-campus visits, including travel arrangements, schedule coordination, room preparation, and food ordering, as needed.
  • Serving as primary point of contact for the administrative needs for the Academic Department Chairs;
  • Scheduling appointments and maintaining calendars for faculty meetings; Preparing agendas and meeting materials in advance of meetings. Drafting minutes, as needed.
  • Assisting with the ongoing maintenance for Anderson facilities. Entering and following up on work orders. Serving as back-up Building and Emergency Coordinator for Anderson.
  • Maintaining records and providing reports regarding purchasing activities, course syllabi, organizational meetings, etc., as needed by Anderson leadership
  • Assisting with administrative activities associated with large-scale events hosted and sponsored by ASM;
  • Performing miscellaneous job-related duties as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Demonstrated track record providing effective administrative support for individuals with a broad range of administrative needs.
  • Previous experience utilizing a purchase card and/or other business purchasing experience
  • Previous experience with coordinating complex travel arrangements
  • Demonstrated experience preparing agendas, meeting materials, and meeting minutes
  • Experience submitting building work orders or any emergency planning experience
  • Ability to balance strong attention to detail with timeline sensitive work
  • Ability to effectively communicate, verbally and in writing
  • Strong organizational skills and methodologies for tracking projects and status
  • Excellent interpersonal skills and ability to work with a variety of individuals at different levels in the organization
