Position SummaryThe Division of General Internal Medicine (GIM), within the Department of Internal Medicine is seeking a Unit Administrator 3. GIM is a complex and diverse division within the Department of Internal Medicine. General Internal Medicine (GIM) also includes Geriatrics which is a section within the division. GIM has 41 faculty working in 10 clinical sites and is actively recruiting 4 additional new faculty members. The division also includes 24 volunteer faculty members who practice around the state. The division is eager to address a variety of new initiatives and expand both its education and research missions making this a challenging opportunity for an individual interested in taking a leadership role in the Department of Internal Medicine.

This position oversees all day-to-day finance, management of staff members, manages and/or coordinates facility and resource management, information services, and general divisional administration. The Unit Administrator partners with the Chief of General Internal Medicine strategic and operational decision making as a member of the Division's leadership team and supervises and provides functional leadership to staff supporting the Division.

Applicants should have excellent communication skills, value customer service, be highly organized with the ability to multi-task. Excellent computer skills are essential and duties include but are not limited to: budget development, oversight of faculty credentialing and inventory control. Applicants must possess a proven track record of effectively managing and leading teams to achieve organizational goals.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Strong experience in leading and supporting numerous faculty and staff, with a focus on effective personnel management, clear communication, accountability, and fostering a collaborative and productive work environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with a focus on data management, documentation, and presentation development; experience with or ability to be trained in Smartsheet for tracking tasks, managing workflows, and creating collaborative dashboards; familiarity with Zoom and Microsoft Teams for virtual communication and meeting facilitation.
  • Skilled in contributing to budget planning, financial projections, and variance analysis in close partnership with finance personnel, ensuring alignment with strategic goals and institutional priorities.
  • Familiarity with Banner Finance or similar financial systems, with the ability to interpret data and support financial tracking and reporting efforts.
  • Manage the preparation and submission of Non-Standard Payments (NSPs), ensuring accuracy, compliance with compensation structures, alignment with FIBCI data and faculty FTE, and timely routing through appropriate approval channels.
  • Extensive involvement in faculty and staff recruitment processes, working closely with the HR/Academic Affairs to support position development, hiring logistics, onboarding coordination, and employment transactions, including leave requests and related actions.
  • Manage the faculty annual performance review process in coordination with the HR/Academic Affairs team, ensuring timely faculty response and completion to meet institutional deadlines.
  • Manage the preparation and submission of Non-Standard Payments (NSPs), ensuring accuracy, compliance with compensation structures, alignment with FIBCI (faculty contract) data and faculty FTE, and timely routing through appropriate approval channels.
  • Demonstrated experience in supporting program development and providing administrative coordination for new initiatives, ensuring alignment with strategic goals and institutional priorities.
